MISSION
Victory Christian Academy will provide an accredited, Christian education, in a safe environment, at an affordable price.

STATEMENT OF FAITH

WE BELIEVE:

In the verbal-plenary inspiration of the Holy Scriptures.  The King James Bible is the preserved Word of God for the English-speaking people.
In the One true God, eternally existing in three Persons: God the Father, God the Son, and God the Holy Spirit.
In the Lord Jesus Christ as virgin born, true God, true man, His impeccability, vicarious death, bodily resurrection, present advocacy and personal pre-tribulation, premillennial return.
In the fall of man, resulting in his total depravity and need of salvation.
In the voluntary, substitutionary, and vicarious death of our Lord Jesus Christ as a sacrifice for the sins of the whole world.
That salvation is a free and everlasting gift of God, entirely apart from works, that every person is responsible to receive or reject salvation by personal faith in the Lord Jesus Christ, that a soul once truly saved can never be lost.
That the Holy Spirit regenerates the believer and baptizes him into the Body of Christ without outward evidence and sign gifts, such as tongues.
In the bodily resurrection of the saved and unsaved.
In the eternal conscious bliss with the Lord Jesus Christ for the saved and the eternal conscious torment for the unsaved.
In the personal, imminent return of our Lord Jesus Christ for all of the Body of Christ prior to the Tribulation and His personal, visible return to the earth with the body of Christ at the end of the Tribulation to usher in 1,000 years of the literal Kingdom of God. 
In the responsibility of believers to evangelize the world and that other local churches be established which have the same faith, practice, and organization as stated within the VBC Constitution.
In the baptism of believers by immersion and the observance of the Lord’s Supper as ordinances of this local church.  
In the responsibility of this church to pray for and support missionaries who hold the same faith and practice as the VBC Constitution proclaims.

PHILOSOPHY OF EDUCATION

VCA believes that Christian education, founded on God’s Word, best benefits the spiritual, intellectual, and physical aspects of man (II Tim 3:16).  Victory Baptist Church is very pleased that it is able to provide Christian education for children and young adults.  We believe that true Christian education benefits the spiritual, intellectual, and physical aspects of man.  This is the total man:  Body, Soul, and Spirit (I Thessalonians 5:23).  Spiritual truth will establish a strong, perpetual basis for a complete education.

Victory Christian Academy was established as an educational ministry of Victory Baptist Church in 1971.  The church provides classrooms, utilities, equipment, and other items necessary to the school operation.  Victory Christian Academy is operated and controlled by the church.  School tuition and registration funds are used to supplement the cost of the school operation.

WE BELIEVE:

The King James Bible of 1611 to be the absolute Word of God.
That adhering to the Bible and its absolutes as the final authority enables education to be accomplished within the framework of definite guidelines and disciplines.
That right and wrong can be clearly defined, and definite direction can be given.
That education founded upon the absolutes of the Bible make it possible for the student to know where he/she came from, why he/she is here, and where he/she is going.
True education should provide an opportunity to increase in wisdom and knowledge.  True education should provide each student with the means of reaching his/her greatest potential.  Therefore, it is our goal to furnish requirements and standards that will exceed governmental standards of education.  True education should produce good, effective citizens.  True education must make knowledge of our rich heritage available to each generation.  Christian education should strive to instill into each student virtues of honesty, integrity, responsibility, sincerity, and a respect that produces patriotic, effective citizens.  An effective citizen should be educated to understand political structures and processes.  Christian education should bring awareness of the need of healthy living habits.  This would include not only personal habits, but collective practice in our community, state, and our nation.  We should always strive to improve the quality of community living according to Biblical standards.
Material and spiritual goals should be brought into a proper perspective and a right relationship one to the other.  Challenging the student to pursue spiritual goals is a responsibility which cannot be shunned.  It is our goal to educate our students to reach their highest goals spiritually, morally, and intellectually.

Chapter 1
ADMISSIONS

1.1 Non-Discriminatory Policy

Victory Christian Academy admits students of any race, color, or national or ethnic origin to all the rights, privileges, programs, and activities generally accorded or made available to the students at the school.  Victory Christian Academy does not discriminate based on race, color, or national or ethnic origin in the administration of its educational policies, admissions policies, athletic programs, or other school-administered programs.

1.2 School Age

A student is eligible for K4 – 1st grade based on the following timeline:
    K4 – the child should be four years old by September 1st.
    K5 – the child should be five years old by September 1st.
    1st – the child should be six years old by September 1st.
Exceptions can be made when deemed necessary by agreement of school and parents.

1.3 Admission Prerequisites

To enroll your child in school at VCA, please follow these instructions:
1.    Obtain and complete an application form from the office or web site, 
    www.vcamillbrook.com.
2.    Return the application to the school office.
3.    VCA will contact you to set up a meeting with the administrator.  The student and at least one parent should attend this meeting.  This is an informal meeting for us to get to know you and answer any questions that you may have about VCA.
4.    If accepted, a non-refundable registration fee (see current financial brochure for pricing information), birth certificate, and certificate of immunization are required to enroll your student.  Once we have received these items, your child will receive all the information pertinent to the upcoming school year.  VCA emails information for the new school year in July.

1.4 Admission Probation

All new students will be on a nine (9) week probationary period and may be
dismissed without cause during that period.

1.5 Re-enrollment

All financial accounts must be current before a student may re-enroll for the 
following year.

1.6 Consent Forms

VCA must obtain the written consent of BOTH biological parents before it has the 
legal authority to educate your child unless:
The biological mother claims not to know the identity of the biological father.
The enrolling parent knows the identity of the other parent but claims either not to know his/her whereabouts or that he/she is completely unreachable to grant consent.
The enrolling parent has the sole legal custody and/or the sole right to make educational decisions as indicated in a court order or custody decree.
Note: Notarized affidavits may be necessary for exceptions.

1.7 Receiving Transfer of Credits – High School

Credits from other schools are accepted only after a review of the transcript and approval of the administration.  Students may be required to complete a placement test to determine transfer of credits.


Chapter 2
ATTENDANCE/ABSENCES/TARDINESS

2 Attendance

Students are expected to attend all assigned classes.  They should miss only when it is absolutely necessary.  Family vacations and trips should be scheduled during “school vacations” since it is often difficult for a child to make up work during an absence.  Should it be necessary for a student to miss school for personal reasons, please obtain permission from the administration 48 hours in advance.

2.1 Tardy

Any student who is tardy is required to sign into the office and receive an admit slip to attend class.  Students are tardy if not in their seats when class begins (bell rings).  Anyone with an unexcused tardy will receive a tally or write off (High School).  Kindergarten students will receive a red point in Class Dojo.  

Any student who has five or more unexcused tardies will not be eligible for a perfect attendance award.  Kindergarten students with perfect attendance for any nine-week grading period will be awarded a free snack and drink.  Elementary students will receive his/her choice of a quiz pass or a free snack and drink.

2.2 Excused Absences

VCA policy limits all absences to 20 in any given school year.  Students absent for more than 20 days in any class period can only receive credit for that class by approval of the administration if there are extenuating circumstances.  FACTS will advise parents when a student reaches 5,10, 15, and 20 absences.  Excessive unexcused absences may result in dismissal from school.  No refunds on tuition are made because of absences.  In case of absence and tardy, the parent must turn in a handwritten dated note to the front office or teacher explaining the reason for absence.  There are no excused absences except for student illness, death in the immediate family, or doctor and dental appointments.  When possible, all appointments (doctor, dentist, etc.) should be scheduled after school hours.

High School     - Students must be in class 30 minutes or longer to be considered present for that class.
Elementary – Students who are absent 2 hours or more in a day constitutes a half-day absence.

If more than five excused absences occur in one nine-week grading period in a class, a doctor’s permission is required (except for communicable disease) for all future absences during that grading period to be excused.

2.3 Unexcused Absences

Unexcused absences are all absences other than for sickness, doctor appointment, or death in the family.  Students who do not have a dated written note from a parent telling the reason for absence will be given an unexcused absence unless the parent has previously called the office for approval of the absence.  Unexcused absentees will not be able to make up any work unless satisfactory arrangements are made with the administration before the absence occurred.  Unexcused absences during final exams will lower the semester grade one full letter.  First through twelfth grade students with unexcused absences will receive 20 points off what they earn on any make-up work in every class missed.  This modified score will be averaged in the test/quiz section of the grade book and may not be dropped as the lowest quiz grade.

2.4 Approved Unexcused Absences

Approved unexcused absences are unexcused absences which allow the student to make up work for missed classes.  Requests are made in writing or by phone by the parent to the office 48 hours in advance.

2.5 Absence Make-Up Information

When a kindergarten student is absent, a parent may request the daily workbook pages to be completed by the student at home.  Kindergarten students should return the completed work to the teacher to be checked for accuracy.  This should assist the K5 students in being better prepared later in the year for oral and written evaluations.  If a kindergarten student is to be absent for three or more days, please contact the teacher as soon as possible so adequate time is given to pull the workbook pages.

Students in first through twelfth grade who are present the day before a test or quiz, but then misses the test or quiz, must make up work the day he/she returns to school.

If a student misses the day before a test or quiz and attends the day of the test or quiz, he/she may be required to take that test or quiz if the teacher judges sufficient review has been accomplished.

If a student misses one day of class, then he/she has one day to make up the work.

If a student misses two days of class, then all work must be made up within two days.

If more than two days are missed, the student has one week from the last day of absence to make up the work.

It is the student’s responsibility, not the teacher’s, to ensure that the make-up work is completed as assigned.

NOTE: If work is not made up within 2 days past the required time, a zero will be recorded for the test or quiz.

2.6 Checking Out – High School

Students who drive will not be allowed to leave campus at anytime without written permission from the parent or a verbal okay by phone call to check out or leave campus.

2.7 Exemptions

Students in 7th through 12th grades who have no more than four absences per semester, and a 92 or higher average in a class may be exempt from review days and semester exams. These exemptions must be approved by the administrator.
Chapter 3
DRESSING FOR SUCCESS

3.  Dress Code

NOTE: VCA does not endorse temporary/permanent tattoos or body piercings.

3.1 All Chapel and Field Trip Days

All VCA students will wear approved polo shirts on chapel days and field trips unless otherwise instructed.

3.2 Boys Dress Code

Boys:
Pants – Clean and neat, trim fitting (neither baggy or tight) khaki or navy-colored pants (no denim) shall be worn.  Uniform shorts may be worn, but must be knee length.  No cargo or frayed pants are allowed.  Pants with holes, patches, or of “mod” design are not permitted.  
    
Shirts – Shirts can be any collared style shirt.  Shirts are to be buttoned. Boys in grades 3-12 must tuck in their shirts. 
Baseball Caps/Sunglasses – While baseball caps/sunglasses may be worn to and from school, they should be left in a vehicle or locker. These items are not permitted to be worn in school unless on specified theme days.
Earrings and Necklaces – Not permitted to wear earrings or necklaces.
Shoes (K4 – Elementary) Closed toed shoes are required. Crocs are not permitted. (7th – 12th Grade) No shoes without backs. Crocs are not permitted.  Socks must be worn.
Hair – Hair will be neatly trimmed and may not touch the ears or the collar and must present a tapered uniform (no “bowl” cuts or lines in the hair).  Hair should not touch the eyebrows when groomed (no curling, or other methods of holding back hair).  If dyed, it must look natural. Face should be clean and neat.
Jr High PE – Students must purchase PE shorts and PE shirts from our online vendor. Students are permitted to wear loose-fitting black athletic pants for PE.

 

3.3 Girls Dress Code

Girls:
Skirts – Clean, neat, modest (not tight or form fitting) khaki or navy, knee length skirts may be worn.  Slits should be no higher than the top of the kneecap.

 

Pants - Clean and neat, modest (not tight or form fitting) khaki or navy-colored pants (no denim) shall be worn.  Uniform shorts may be worn but must be knee length.  No cargo or frayed pants are allowed.  Pants with holes, patches, or of “mod” design are not permitted.

       

Shirts – Any modest collared shirt may be worn.  Shirts are not to be tight, form fitting, low-cut, sleeveless, or sheer, and must be 3 inches below the waist.
Shoes (K4 – Elementary) Closed toed shoes are required. (7th – 12th Grade) No shoes without backs. or crocs are permitted.
Hair/Makeup – No unusual coloring of hair or make-up.  No “mod” or “fad” hair or make-up designs (to include unnatural colors).
Jr High PE –  Students must purchase PE shorts and PE shirts from our online vendor. Students are permitted to wear loose-fitting black athletic pants for PE.

Piercings–Girls may have piercings in ears only.

3.3 Extra-Curricular/School Function Dress

Students should not wear clothing imprinted with questionable messages, symbols, and/or pictures to any extra-curricular activity or school function.

Dress for all sports practices must be loose fitting and if shorts are worn, must be knee length.

Dress to all ball games should be clothing that is not worn in direct defiance of school policies.  This includes jewelry for boys.

If a VCA student brings a guest that is not enrolled in VCA, the VCA student is responsible for communicating the approved dress code to his/her guest.

3.4 Homecoming and Jr/Sr Banquet
All formal attire must be approved before the event such as homecoming court and Jr/Sr Banquet.  Please see the school office for details regarding the approval process.

3.5 Varsity Sports Banquet
Girls -Formal dresses are not appropriate for this occasion.  Girls should wear a modest (knee-length, must have sleeves) Sunday dress.
Boys – Boys should wear a dress shirt and dress pants.

3.6 Guidelines for Dress Code Violations
A grooming notification will be sent home with the student.  VCA administration reserves the right to initiate policies on new fads and changes in style throughout the school year.  Also, we may ask the parent to bring a change of clothing for extreme violations. If corrections cannot be made at the school, the student may remain in the office until parents bring the item to correct the situation. If the violation can be corrected at school, the correction will be made. Repeat offenses will receive disciplinary consequences.

Chapter 4
ACADEMIC POLICIES

4.1 Curriculum

Christian education, while including the regular academic curriculum, is a special kind of education.  It includes teaching the Word of God through chapel programs, Bible classes, and a Biblical interpretation of all we see and know in the world.  Not only is the objective to teach the truth, but also to teach the student how to use and apply these truths to his/her everyday life.

VCA offers a traditional curriculum in a traditional classroom setting and atmosphere.  A solid foundation for reading is laid in kindergarten and early elementary grades.  The use of a strong phonetic approach helps to develop independent readers.  Success in other academic areas depends, to a large degree, on a child’s reading ability.  Additionally, there is a strong emphasis on math, language, and science in upper elementary grades.

4.2 Homework

Homework is an integral part of the school program.  Teachers give homework to assist the student in advancing his/her studies.  Homework is given for reinforcement, practice, remedial work, and special projects.  

The school needs each parent’s full support in seeing that homework is not only done completely, but also done to the best of the student’s ability.

Kindergarten – During the second semester, K5 teachers give reading homework to assist the student in advancing his/her reading ability.  The homework may be one to two times each week.

Elementary – Homework assignment pads must be signed by a parent or guardian and returned daily.  Homework not done earns a “work not in” tally.  If work is not done for the second day, the student receives two “work not in” tallies.  If not done for the third day, the student will be sent to the office to complete their work and may receive zeros in the class(es) missed.  


Jr High/High School – Seventh and eighth grade homework pads do not have to be signed by a parent.  It is important for parents to still check that homework is completed, and students should use an appropriate manner of keeping assignments.  Incomplete homework earns a write off.

If a student does not complete homework 2 days in a row, the student receives detention.  If the student comes to class on the 3rd day with no homework, the student is sent to the office.  They cannot return to class until all assignments have been completed.

Homework passes may be earned for not receiving any write-offs for five school days from one Monday to the next.  The homework pass may be redeemed with a teacher by surrendering the pass instead of assigned homework.  

The rules of the pass are as follows:
The pass expires within four weeks of issuance.
The pass may not be used in a subject which a student has below a 70 average.
The pass may not be used to skip a review lesson(s).
The teacher has the final decision on the acceptance of homework for which they will take a pass.
No more than two passes can be used in one subject per nine weeks.

4.3 Supply List

A supply list is published for each class yearly.  A King James Bible (AV 1611) is required for all students.

4.4 Help Classes

First through twelfth grade students whose grades fall below a 69 in math, reading, or English, will be offered a help class. Parents will be notified if or when this is necessary.  Attendance will be required until the teacher notifies the parent that help class is no longer needed. The classes are thirty minutes in length and are no additional charge. Help classes are temporary and are not intended to replace a tutor. In some cases, seeking additional tutoring may be necessary.

4.5 Physical Education

Appropriate physical education for first through ninth grades will be provided 3-5 days per week.  Attention is given to the development of the student as an individual.  Intramural competition is encouraged.  Students well enough to attend class are required to participate in PE classes.  Written and signed excuses from a parent are accepted to not participate.  Lengthy non-participation can only be granted with a written excuse from a doctor

In grades 7-9, students will change clothes for PE. For PE dress, students should wear knee length, loose fitting shorts and T-shirts not imprinted with questionable messages or symbols. PE clothing that does not meet the school’s modesty standards (knee-length, loose-fitting shorts, appropriate shirt) will not be allowed. Students who are not in PE dress, or out of dress code will receive a write-off.

4.6 Field Trips

Trips to visit places of educational interest are scheduled periodically during the year.  Parents will receive notification by the teacher when a field trip is scheduled.  We encourage parents to come and help chaperone.

4.7 Achievement Tests

Achievement tests are given each year to evaluate effectiveness of the curriculum and the teacher.  These are nationally standardized normative tests and help to recommend our students to other schools and higher institutions of learning.  Students should strive to be present during these days.  Only emergency absences will be excused.

4.8 Plagiarism/Cheating

VCA will not tolerate any cheating on tests/quizzes/homework assignments or plagiarism on written assignments. Students are expected to complete their own original work.

Chapter 5
RECORDS, GRADING, HONORS, GRADUATION &
FINANCIAL INFORMATION

5.1 Progress Reports

Progress reports are sent out at the midpoint of each grading period for first through twelfth grade.  These reports are emailed to the parent.

5.2 Report Cards

Report cards are issued after every nine-week period.  Kindergarten students will receive their reports through their communicator folders.  These reports should be returned to the teachers the following Monday.  First through twelfth grade students will receive their report cards via email.

Conferences may be scheduled with each teacher to review report cards.

5.3 Grading Scale

The grading scale for Victory Christian Academy is:

Kindergarten students receive an “S” for Satisfactory and an “N” for Needs Improvement.

First through twelfth grade grading scale is:

5.4 Honor Roll

Principal’s Honor Roll is awarded to any first through twelfth grade student who receives no less than 90 in every subject.

Honor Roll is awarded to any first through twelfth grade student who receives no less than 80 in every subject.

Academic recognition is awarded at the end of the school year.

5.5 Summer School

If a student is not achieving to the best of his/her ability or is failing in major academic areas, summer school may be required.  Notification will be given to those who need to attend.

Students should secure permission from the administration before enrolling in summer courses at another school.

5.6 Withdrawal

A withdrawal form must be completed in the school office prior to the student’s last day of school.  A request for transfer of school records must be completed and sent to the school office.  If a student attends any part of a month, tuition is due for the entire month.  Whenever a student withdraws, all accounts are due upon withdrawal.  A late fee of 1.5% of the balance due will be charged on the tenth of the following month and each month thereafter until the debt is paid in full.  Transcripts or any academic records cannot be released until all financial obligations have been met.  If a student withdraws and transfers to a school within the tri-county area, special financial requirements must be met to re-enroll at VCA.  See the school office for details.

NOTE: When a student withdraws, test and quiz booklets are not returned to the parent.

Valedictorian and Salutatorian will only be chosen from students who have attended ninth through twelfth grade in residence in an approved day school at least equal to our program.  A student must have been in attendance in our ninth through twelfth grade program for at least the final two years of school at VCA and must have completed all requirements for an advanced diploma.  Any homeschooled student’s records must be validated by a student guidance counselor and administrator before participation may be allowed. In the event there are fewer than 2 students on the Advanced Diploma program, Valedictorian and Salutatorian may be selected from those on the Standard Diploma program.

Gold Cord Honors – Graduating with an overall numeric average of 96 or higher for grades ninth through twelfth.

Silver Cord Honors – Graduating with an overall numeric average of 90 or higher for grades ninth through twelfth.

White Cords will be given to students who have completed 150 hours of documented community service.

Green/White cords will be given to student athletes who have participated in the athletic program from grades 9-12 and have a grade point average of 3.0 or higher.

Caps and gowns must be ordered from our supplier, Jostens.

5.8 Financial Information

Victory Christian Academy is a ministry of Victory Baptist Church.  However, to provide teachers, equipment, and teaching materials, it is necessary to charge fees (see financial brochure for current information).

The school is dependent on fees being paid when due.  Accounts must be kept current.  Payments are due on the first day of the month.  If not paid by the tenth day of the month, a late fee will be added and the parent access to FACTS may be turned off.  Report cards or academic transfer information will not be sent home or transferred unless all accounts are current.  If accounts cannot be kept current, it is the responsibility of the parent to notify the office.  A meeting will need to be arranged if the account is not kept current.

If an account has a balance on the last business day of the month, the student(s) will not be allowed to attend classes the following school day unless the outstanding balance is paid in full.

Please contact the financial secretary located at the church office for any billing questions.  Finances are handled through the financial secretary, not the teacher.

If the student’s account becomes past due at any time after re-enrollment, your slot will be forfeited until the account is current.


5.9 Payments

We accept payments by cash, check, or money order.  We also accept payments by credit card; however, a usage fee will be applied, and you must pay in the financial office located at the church.  Payments may be mailed or made at the school or church office.  To ensure proper credit to your account, please place your payment in an envelope with your account number and child’s name clearly marked.  VCA cannot hold checks or accept post-dated checks.

5.10 Statements

Statements with the current balance due are mailed at the end of each month.  If your account balance is at zero or you have a credit, you will not receive a statement.  You may see your financial information in your FACTS online account.  

NOTE: If your child is in K5 or 12th grade, your account must be paid in full by May 10th or your child will not be able to graduate.  To assist you in this matter, we have established your account on an 11-month payment plan instead of a 12-month plan.

 

 

 

 

 

 


Chapter 6
INCLEMENT WEATHER/EMERGENCY CLOSING

6.1 Inclement Weather/Emergency Closing

At times, it may be necessary for Victory Christian Academy to close due to weather or circumstances beyond our control.  If this is necessary, students will be notified either by FACTS, email announcement, telephone, text, or by listing the closure on WSFA.

6.2 Disaster Drills

Fire, tornado, and intruder drills are conducted regularly.  At the sound of the appropriate alarm, students will proceed according to the plan given to each teacher.  No talking, running, or pushing will be allowed.  Detailed information/procedures may be found at the front office.

 

 

 

 

 

 

 

 

 

 

Chapter 7
IMMUNIZATION/INFECTIOUS DISEASES & 
MEDICATION POLICIES

Victory Christian Academy desires to maintain a healthy school environment by instituting controls designed to prevent the spread of communicable diseases.  

NOTE: Students with a temperature of 100 degrees or higher or that have a contagious condition such as vomiting or diarrhea in the previous twenty-four hours should not be at school.

7.1 Communicable Diseases

The term “communicable disease” means an illness which arises as a result of a specific infectious agent which may be transmitted either directly or indirectly by a susceptible host or infected person (or animal) to others.

A teacher or administrative official who reasonably suspects that a student or employee has a communicable disease will immediately notify the school principal.

At present, the reportable diseases include:

Any student with a communicable disease for which immunization is available or required by law, shall be temporarily excluded from school while ill and during recognized periods of communicability.  If the nature of the disease and circumstances warrant, VCA may require an independent examination of the student to verify the diagnosis of the communicable disease.  VCA reserves the right to make all final decisions necessary to enforce its communicable disease policy and take all necessary action to control the spread of communicable diseases within the school.

7.2 Medications

Victory Christian Academy does not provide any medications for students.  All medications, prescription or non-prescription, are required to be kept in the school office at all times.  Parents are to provide the medication for each child along with a completed medication form for the office to log when medication is taken.  All medication must be labeled with student’s name and dosage.  

It is a serious violation of school rules to keep any type of medications anywhere else on school premises.

NOTE:  Students who require an epi-pen may have their teacher keep it for emergency purposes.


 Chapter 8
STUDENT MORAL STANDARDS

8.1 Codes of Conduct

Attendance at Victory Christian Academy is a privilege, not a right.  Constructive suggestions are always welcome; however, griping is not permitted.  Anyone who will not cooperate spiritually, morally, or scholastically will be dismissed.

Students are expected to maintain high standards of conduct whether at or away from school.  Students represent Victory Christian Academy whether on or off campus.

Disorderly conduct is not conducive to developing Christian character and could lead to physical harm to students or to the destruction of property.  It will not be tolerated.

At VCA there are four fundamental rules:
Students will not be allowed out of their seat without permission.
Students will not be allowed to communicate in class without permission.
Students will address and reply to teachers and staff with the utmost respect.
Students will not have any physical contact with each other during school or any school activity.

Students who fail to follow instructions will be given appropriate discipline.

8.2 Standard of Conduct

We expect our students to have the highest moral character; therefore, they are expected to abide by the following standards:
Obey any class or administrative procedure.
Show respect to administration, teachers, parents, fellow students, and others.
Be on time for all classes and functions.
Be clean and neat in their surroundings.
Dress in a Christian manner.
Exhibit orderly conduct at all times, whether on or off campus.
Attend all school day functions, unless excused.
Respect property rights of others.
Accomplish assigned work with no unauthorized assistance.  It is unethical to ask other students the questions on a test or to use test/quiz keys.
Exemplify good Christian character by not being involved in tobacco (to include vaping), profanity, drugs, alcohol, pornography, lewd materials, sexual sins (to include homosexual behavior), inappropriate web sites, inappropriate unchristian music, symbols, or attire.
Aid the staff and teachers in maintaining a safe environment by avoiding horseplay, following good safety practices, and not having anything at school that may be used as a weapon or making jokes about safety issues.  Weapons are defined as knives, brass knuckles, toy or real guns, or anything deemed by the administrator that could bring harm to a student or staff member.  Any use of a weapon, any attempted use, or ever a threatened use of a weapon will result in suspension and possible expulsion.  Knives of any kind should not be brought onto school campus. The penalty for bringing weapon(s) will be an immediate suspension from school until the parent can meet with the administration to pick up the weapon and discuss punitive measures, as required.  Based on the infraction, a suspension or dismissal may result as determined by parents and administration.
No participation in destructive fads such as cutting or behavior that harms the body.
Language – Profanity, gossip, spreading of rumors through social media, text, email, or any other form will not be tolerated.  Violations of this policy could result in detention or suspension.
No eating in the classroom. No chewing gum while at school. 
Other serious violations of conduct not stated herein whether on or off campus.

 


8.3 Cell Phones/Electronic Items

Kindergarten/Elementary
Cell phones, eBooks, tablets, music players, and cameras are not permitted in the classroom during school hours.  These need to be kept at home, in the car, or turned into the student’s teacher upon arrival to school and picked up as the student leaves for the day.  Any student keeping these items and/or using them inappropriately will have them confiscated and kept in the office.  The parent will be required to pick up the item from the office.

Jr High/High School
Students must turn in phones to designated areas in classrooms at the beginning of each class period.  Students are permitted to use cellular devices prior to school beginning, during breaks, and lunch time.  Students are not permitted to use earbuds/headphones at any time during the school day. Students in violation of this policy will receive detention.

8.4 Personal Social Media

If the content of a student’s social media violates our code of conduct, the student may be subject to disciplinary action. At the request of administration, and with a parent’s permission, a student may be required to allow VCA administrative staff to review their social media account postings.

8.5 Lockers/Desks

Below is a list of requirements that students must follow to keep our lockers in good condition:
The lockers/desks are the property of VCA and should not be defaced in any way (to include stickers).  The contents may be reviewed at any time by the administration without notice.
Locks are not required, but a combination lock may be used if desired.  The combination must be given to the school office.  Key locks are not permitted.
All items must fit inside the locker.  Any items left on top of the lockers will be taken to the office.  
All food/drinks must be removed from the lockers at the end of each day.
No student should use another locker not assigned to them without administrative approval.

Chapter 9
BEHAVIOR, REWARDS & CONSEQUENCES

9.1 Behavior

Self-discipline is stressed in accordance with Proverbs 22:6. “Train up a child in the way he should go: and when he is old, he will not depart from it.”

Discipline is training which corrects, molds, strengthens, or perfects the mental faculties or moral character.  Discipline is an important part of the training offered at Victory Christian Academy.  It is our goal that discipline training will lead to students learning self-discipline.

Parents and teachers must cooperate fully with one another, especially in this area.  Anything said or done which tears down respect and confidence for either parent or teacher will harm the student.  When there is a misunderstanding, take it immediately to the teacher.  Often a conference can clear up the difficulty.  Should a problem remain, feel free to consult with the administrator, then the pastor.

The Victory Christian Academy discipline goal is to have an environment where all students participate in a classroom that encourages respect and learning.  If any one child is outside these guidelines, then the other students in the classroom suffer from the teacher having to focus on this one student.  It is our goal that each student achieves to the best of his/her ability.

9.2 Discipline Code

The students of Victory Christian Academy are expected to show respect to God, country, family, faculty, parents, and fellow students.  Lying, cheating, theft, profanity, vandalism, and defacement of property will not be tolerated. Students who engage in defacement or vandalism of any property, whether it be school-owned or privately owned, will be held responsible for the damages incurred and required to cover the costs of restoration or repair.


9.3 Discipline Policy

Kindergarten
Kindergarten is quite often a student’s first school experience.  Once the teacher knows that the student understands what is required of them, one of the first things he/she will expect is obedience.

Kindergarten uses an app called Class Dojo.  It is a free app that allows parents (guardians) access to their child’s daily behavior.  Class Dojo uses green and red points to show a student’s behavior.  A teacher may give a student a green point for good behavior or a red point for behavior that needs correcting.  More information regarding the app, as well as a personal invitation code, will be given at orientation.

Consistent or repetitive disobedience will be handled first by contacting the parents.  If the misbehavior continues, the administrator will become involved.


Elementary (1st – 6th Grade)
The tally system consists of a tally board posted in the classroom.  The board has the H-O-W-I-A-C-T offenses listed at the top of the board.  Each student has a shield with his/her name under it.  As a student commits an offense, he/she is asked to place a tally (a felt half inch square) on his/her shield.

Please note explanation:
    Hullabaloo – loud or abnormal noise or disruption.
    Out of Order – pushing in line or the water fountain, homework pad not                      signed, leaning back in chair, etc.
    Work Not In – homework or classwork.
    Intentional disobedience – cheating, lying, stealing, fighting, and profanity.
    Attitude – bad attitude shown verbally or in reflection of countenance.
    Courtesy lacking – unkind to others, interrupting others, general lack of                     courtesy shown to classmates or teachers.
    Talking- No talking in chapel, hallways, or classroom without permission.

Tallies are recorded in FACTS daily.
If a student earns an intentional disobedience tally, he/she will immediately be sent to the office.  Only the administrator will issue a black tally, and the parent/guardian will be notified.

Discipline issued when total of other tallies reaches five in one day:
First offense – parent will be notified with a discipline form and a phone call.
Second offense – assign sentences appropriate for the offense and notify parent.
Third offense – student will be sent to the office and parent/guardian will be notified to discuss discipline.
Fourth offense and beyond–parent will be contacted for an on-site meeting to help correct student behavior.

Jr High/High School
As students mature, we expect them to become more self-disciplined and more cognizant of their own behavior.  The junior/senior high school years are critical in helping students be what God would have them to be.  Still, the home is the prime authority for discipline.  To bring students back to acceptable performance standards, VCA uses discipline that provides a consequence; however, discipline and academics should not be connected as VCA is trying to help students grow as a whole person.  Students will not be penalized academically as a consequence to violating any part of the VCA standard of conduct.

The discipline system at this age is Write-offs.
Write-offs are issued for minor infractions of the standard of conduct.

A write-off is an assignment to write sentences as assigned by a teacher or staff member.  An infraction will require a minimum of 25 sentences and may require increments of 25 or 50 for continued infractions.  When assigned by a teacher or staff member, they are to be completed and returned the next day to the assigning teacher at the very beginning of the next class in which the write-off was assigned.

Completed write-offs will be forwarded to the homeroom teacher for filing.  Discipline records may be reviewed in FACTS at any time.  If a student has five or more write-offs in one week, he/she will be assigned a one-hour detention. Incomplete write-offs may result in a student being sent to the office or receiving a detention.

When a yellow write-off is incomplete or not signed by a parent, a detention will be assigned.

No limit is given to the number of write-offs a student may be assigned in any given day.

Students should not use class time to do their write-offs.  The teacher will confiscate write-offs written during class time and the student will have to begin again.

Write-off format is as follows:

    Sentences should be written in legible handwriting. 
    
    Sentences should be written on form provided.
        White write-off – No parent signature
        Yellow write-off – Parent signature required

White Write-Off
    Communication without permission.
    Working on unrelated material.
    Eating in an undesignated area (includes chewing gum).
    Being unprepared for class.
    Tardy (not in seat when bell rings).
    Other (must be accompanied by an explanation from the assigning     teacher).

Yellow Write-Off
    Above white write-off items that continue to cause issues.
    Not completing assigned work several days in a row.
    Dress code violation.
    Other (must be accompanied by an explanation from the assigning     teacher).

9.4 Rewards

Kindergarten
Good weekly behavior is rewarded with incentives at the teacher’s discretion.

Elementary
If a student does not receive a tally for five consecutive days, he/she will receive a gold shield to place on the tally board.

Other rewards are as follows:
After a total of ten days with no tallies, the student earns a gold shield to     wear at school and take home.
After a total of fifteen days, the students earn a free snack.
After a total of twenty days, the students earn a free snack and drink.
Thereafter, the teacher will issue rewards at his/her discretion.
    
Jr High/High School
If a student has no write-offs recorded in FACTS for a Monday – Friday period, he/she will receive a one-time homework pass.

For each calendar month a student has no write-offs, he/she will receive a quiz pass.

For each nine-week period a student has no write-offs, he/she will receive a skip day pass.

9.5 Detention

Detentions may be given for more severe infractions of standard of conduct.

The person issuing the discipline writes the detention notice.

Homeroom teachers write detentions for accumulation of write-offs.  If a student has five or more write-offs for a given week (Monday – Friday), a detention is issued.

When a student receives two detentions in a semester, a parent conference will be held to discuss the situation.

When a student receives three detentions, the student receives a one-day in house suspension.

The parent and student should both sign detention notices.  If the notice is not returned the next day, then the student goes to the office and the detention is doubled.

Detentions are served on a designated day of the week and should be served the week after the notice goes home, unless approved by administration.  If a student does not serve an assigned detention and has not made prior arrangements with the administration, he/she will receive an additional detention and will still be required to serve the previously assigned detention.

Detentions begin and end promptly for an uninterrupted time.

Any student caught cheating/plagiarizing will receive a zero and an automatic detention.

All students will start the 2nd semester with zero detentions toward an in-house suspension.

9.6 Suspensions

Suspensions, both in-house and external, may be given for more severe infractions of standard of conduct as deemed necessary by the administration.  The administrator, based on the seriousness of an infraction, may contact the parents, and ask that the student be picked up immediately.

In-house Suspension
Students will be sent to the office for the day and will be required to take all material needed to complete assignments.  A form will be given to the student listing his/her assignments for each class.  The student will be seated at a desk against the wall and should remain quiet and busy while completing assignments.  The student will have no communication or interaction at all with any students.  All assigned work should be neatly completed and turned into the secretary at the end of the day.  If the student fails to cooperate in staying quiet, in keeping busy, and in completing his/her assignments, the parents will be contacted to pick up the student for an immediate external suspension.  After serving two in-house suspensions, the student will begin receiving external suspensions as follows:
    First offense – one day external suspension.
    Second offense – two day external suspension.
    Third offense – three day external suspension.

External Suspension
If a student earns an external suspension, an assignment form will be given to the student listing his/her assignments to be completed or information will be available in FACTS, while student is on suspension.  These assignments must be completed and returned the day the student returns to school.  In addition, an external suspension is considered an unexcused absence and the student will receive 20 points off any missed test or quizzes.

9.7 Dismissal

When a student has earned eight days of suspension, to include both in-house and external suspensions, the administrative board will meet to decide on dismissal.  The committee consists of the administrator, Associate Pastor, Senior Pastor, and Chief Financial Officer.

A student may also receive immediate dismissal for more severe infractions of standard of conduct as deemed necessary by the administration.

Excessive unexcused absences may also result in dismissal from school.

9.8 Procedure for Handling a Problem or Perceived Problem

Never stand up to or talk back to the teacher.

See the teacher after class to calmly discuss the problem.

Tell your parents so they may contact the teacher or administrator.


Chapter 10
STUDENT INSURANCE

Medical Insurance

Accidental insurance is required for all students and is given at no cost to the parent.

The insurance covers all sports except football.

Information regarding the insurance will be passed out at orientation.

National Security Insurance is the company used for student insurance.  It covers any injuries to a student while on school premises.  If your child has an injury, please see the school office for the insurance form to file.

 

 

 

 

 

 

 

 

 

 


Chapter 11
EXTRA CURRICULAR ATHLETICS

Extra-Curricular Sports Activities

Victory Christian Academy provides sports activities when possible.

Activities currently offered are football, cross-country, volleyball, basketball, cheerleading, track & field, baseball, and softball.

To participate, a student must have no “F’s” (failures) on the most recent report card.  A student must withdraw from sports until a passing grade is obtained.

Report card grades used to determine athletic eligibility are:
    1st, 2nd, 3rd quarters and final grade.

The procedure for determining how a passing grade is obtained is:
    Average quizzes/tests in current quarter with quizzes/test in previous     quarter(s) that resulted in failure.  If/when the result is a passing grade, the     student is eligible to participate in extracurricular sports activities and     his/her eligibility is valid until the next report card.

Any time a student fails to achieve his/her best academic level, he/she may be required to withdraw from extra-curricular activities.

In addition, all requirements of our athletic association must be met to be able to participate.

There is a participation fee for each sport. (See financial brochure)

NOTE: When a sports team is traveling and returns to the school after 10 PM, they have an extra day to complete homework that is due the following school day, as well as any test or quiz that was scheduled for the next day.

When a sports team is traveling and returns to the school after midnight, they have until 9 AM to arrive to school the next morning without being considered tardy and the same benefits as stated above.
Chapter 12
VISITORS & OFFICE PROCEDURES

12.1 School Office

The church, school, and certain staff may be contacted through our website, www.vcamillbrook.com.  This site provides our families with important school information and may also be used to refer prospective students for applications and information. VCA will be changing and upgrading the site and will notify parents when other items are available.

School office hours are from 7:30 AM – 3:30 PM, Monday through Friday.  When coming to the school for any reason, please come to the office first.  Do not go directly to the classroom.  Lunches, books, homework, etc. should be left in the office for delivery to the student.

School phones are for business use only and are not to be used by the students unless granted permission by the secretary.  Emergency phone calls will be made by the teacher or office staff.

Summer office hours are Monday through Thursday from 8:00AM-3:00PM, and the office will be closed for lunch from 12:00PM-1:00PM.

12.2 Communications and Notification Policy Concerning Divorced Parents

VCA insists the enrolling parent bear the responsibility for keeping the non-custodial parent informed and involved.

VCA will provide information to the parent who meets all the criteria below:
The parent who has been given legal custody.
The parent who has physical custody.
The parent who has enrolled the student and who has signed the parent agreement with the school.

VCA’s primary goal will be to stay out of the middle of any disputes or disagreements between former spouses, even if it means VCA must regretfully disenroll the student(s) over whom the parents cannot agree.

If the consent of one joint custodian is lost, then VCA has no choice but to disenroll the student immediately.

If there are disagreements that arise which make it difficult or costly for VCA to provide the best educational environment for the student(s), the student(s) may be dismissed from the school.

12.3 Property, Equipment, and Books

We expect students to show proper respect and care for not only school, church property, but also for their own property as well as property of other students. Students who engage in defacement or vandalism of any property, whether it be school-owned or privately owned, will be held responsible for the damages incurred and required to cover the costs of restoration or repair.

12.4 Surveillance Monitoring

Victory Christian Academy employs the use of security cameras to ensure the health, welfare, and safety of all staff, students, and visitors to school property.  Security cameras are installed in public areas only.  These areas include school exterior entrances or exits to school buildings and large gathering spaces such as classroom corridors, cafeteria, lobby, and main entries.  Restrooms, changing rooms, and private offices are excluded from security camera use.  Only a designated employee or agent of Victory Christian Academy will install security cameras and have access to the camera equipment and operations system.

12.5 Lost and Found

Articles which are found lying around the building should be taken to the office.  These articles may be redeemed after being identified.  When items are left for a reasonable length of time and not claimed, they are discarded or donated to a charity organization which the administration chooses.

12.6 Snacks and Lunches

Students should bring snacks and lunches from home.

When feasible, VCA will coordinate with local catering restaurants to provide a lunch program.  Students should order their lunches in their homeroom class on Monday using the weekly lunch form.  Students should have correct change or a check payable to VCA, as VCA does not have the funds to provide change for lunches.

Soft drinks are available from vending machines.  Snacks and juices may also be purchased from the school.

For your convenience, snack tickets may be purchased from the office.  Students may “spend” these tickets as they wish unless parents inform us otherwise in writing.

Microwaves are available for 4th through 12th grade to heat lunches.

NOTE: VCA IS UNABLE TO PROVIDE CHANGE FOR ANYTHING LARGER THAN     $5.OO IN THE SNACK ROOM.

Anyone other than family must have pre-approval from the office to visit during lunch.

 

 

 

 

 

 

Chapter 13
TRANSPORTATION POLICY

13.1 Drop Off and Pick Up of Students

All entry, exit, and directional lanes must be followed to ensure best traffic flow.  Please do not leave vehicle idling in a “No Parking” zone to run in and pick up your child.  This is not only a traffic violation but also a danger to all.

13.2 Late Pickup

At 3:20 PM, students who have not been picked up will be sent to aftercare.

NOTE: A charge of $10 per child for any portion of each additional 15 minutes that the child is in extended care will be added to your next school bill.

13.3 Rules for Driving and Parking on Campus

Parking on school property is a privilege, not a right.  These rules apply to any students not accompanied by parents, immediately before and after school, and all extra-curricular activities:
1.  Students must have a permission form completed and on file in the office before driving or parking on campus.

2.  No student should allow any other student to enter his vehicle at any time for any purpose without administrative approval.

3.  Drivers will drive slowly and be observant of children in the parking lot and driving areas.

4.  Drivers will not park on or drive on any grass at any time.

5.  Vehicles will be parked in properly marked parking lanes only.

6.  Students may ride with other students if there is a letter on file in the office from the parents of any and all students involved.

7.  Any emergency riding arrangements can only be approved through the office.  

8.  Once vehicles arrive on campus, they may leave only with permission from the office, except for regular dismissals.

9.  Once students arrive on campus; they may not remain in their vehicles.  They must go immediately to the designated area. No loitering.

10.  Vehicles are subject to being searched at any time while parked on campus.

11.  All students will observe all vehicle safety regulations and do all within their ability to avoid any unsafe acts.

Chapter 14
PARENT/TEACHER INFORMATION

14.1 Cooperation

Victory Christian Academy should be an extended teaching arm of the home.  It takes a sincere bond of cooperation between the home and the school to create the best learning environment for each student.

At VCA, we give our energies and resources to assisting your children in developing their lives to the fullest of their abilities.  To be the greatest benefit to you and your child, we request that parents encourage students to abide by VCA policies, rules, and standards.  If your child has a problem, please feel free to discuss it with the teacher.  We urge you to regularly consult with the teacher regarding your child’s progress.  By consistently working together with VCA staff, parents can help their children to receive maximum benefits from the school.

At VCA, we believe in fostering a positive and supportive educational community. As such, we kindly request that parents and guardians refrain from posting negative or derogatory comments about the school and the decisions made by the school on social media platforms.

We understand that parents may have concerns or disagreements regarding certain aspects of the school's policies or decisions. We encourage open and constructive dialogue to address such concerns. However, we ask that all discussions and feedback be shared through appropriate channels, such as scheduled meetings, parent-teacher conferences, or communication with the school administration, and that issues are handled in a respectful and Biblical manner.

Negative posts or comments on social media platforms have the potential to create an environment that is harmful and divisive, affecting the overall well-being of our students, staff, and the school community. We believe that respectful and productive communication is what God would desire for us to have and this is essential for maintaining a positive and nurturing learning environment.

We acknowledge and respect every parent's right to express their opinions, but we urge parents to exercise discretion and consider the potential impact of their posts on the overall morale and reputation of the school. We encourage parents to support and contribute to the school's Biblical philosophy and overall culture by promoting positive engagement with the school community.

In cases where parents have concerns or grievances, we encourage them to reach out to the appropriate school authorities, such as teachers, administrators, or our pastor. By engaging in direct and respectful communication, and handling disagreements in a Biblical manner, we can work together to address concerns and find mutually beneficial solutions.

By adhering to this parental social media conduct policy, we aim to foster an atmosphere of mutual respect, collaboration, and unity within our school community. We appreciate your understanding and cooperation in promoting positive interactions and supporting the well-being of all members of the Victory Christian Academy community.

14.2 Classroom Visits

Parents are welcome to visit the classroom during school days.  This arrangement must be made through the office one day before the visit and should be a relatively short duration so as not to disturb the class.  These visits should be for observation, resolving an adjustment, or behavioral problems.

14.3 Parties and Social Functions

Victory Christian Academy is not responsible for any party or function that is not officially (by written notice) approved or sponsored by the school.  Students should not bring party invitations to school.  Please take care of those matters outside of school.

14.4 Parent/Teacher Conferences

Parents may arrange conferences with teachers by emailing teachers through their school email.  Parent/teacher conferences should be arranged in advance, at least the day before, so that the teacher can schedule use of this time.

14.5 Parent/Teacher Meetings

Parent/teacher meetings will be scheduled after each grading period to assist parents and teachers in development of the student in his/her educational progress and to help the parent understand how to assist.
